Some schools and PTAs want to recruit parents to help on a regular basis. eg every day for a week, or every Friday for half a term.
Examples would include - getting volunteers to supervise the road outside school every morning and afternoon.
Or finding parents to help with Forest School every Friday.
How SignUp lists can be used for this.
- Create an event which lasts for several days or weeks to cover the period of the volunteering.
- You need a new signup List for each time session.
For instance, a school wanted volunteers to supervise the road outside school every morning and every afternoon for a week. They wanted 3 x 15 minute sessions at each. We have worked through this example.
Create one event from Monday morning to Friday night.
Add signUp lists for each time session eg Monday morning, Monday afternoon, Tuesday morning, and so on.
First add a SignUp list for Monday morning and name it 'Monday morning....SignUp list'
Publish your SignUp
Now repeat and add a new SignUp list for each other session that you want volunteers for.
NB we have a duplicate SignUp button in the pipeline!
You will see your SignUps listed on your create event page.
NB they won't show up until you have saved the page for the first time.
NB the SignUps don't sort in date order in the admin view, but they do in the parent side view. This is being corrected in admin view!
Now add 'whole school' as guests, or whichever group you are inviting to volunteer.
Publish your event. if you want to check how it looks in the blue parent side then choose 'publish and send invites later' and it will appear there without triggering an invitation.
Now choose Switch to Parent - and check how your event and SignUp list looks.
Then you can return and invite the parents when you are ready.
Tip: if you would like parents to volunteer to do EVERY Tuesday morning for half a term you could do that with the above example (ie you only need to create one week's worth of sessions.
If you want different parents every day for half a term you will need to add a session for each time slot.
What are multiple time slots?
If you choose multiple time slots tasks will be repeated between your start and end times, and you can define the length of time slots. Eg if your SignUp is for 1 hour, and you say 15 minute time slots the system will automatically create 4 sessions of 15 minutes between the start and end of you SignUp.
Sometimes you don't need several time slots for your task.
Eg maybe you only need volunteers from 8.30-9.00 - and just one group of volunteers for the whole time. You can choose not to have multiple time slots in that case. See below.
