Building your basic school structure
When you first set up a new school we auto populate the structure with year groups to save you time. The names of these year groups can be changed and the groups can be removed if there are more than you need.
Year Groups
- To rename a year group click on the pencil icon
- To delete a year group, ensure it is empty and click on the pencil icon
- To add a new year group, type the year name in the box at the top of the year group column
- We recommend you add the school year to the name for clarity at the end of the academic year
Classes
Once you have finished adding year groups you can add classes in a similar way.
- Click on the year group you want to add the class to
- Type the class name at the top of the 'add class' column and click 'Add'
- Repeat for all the classes in the year
- If you need to delete a class ensure it is empty an click the pencil icon
Once you have finished you should see all the classes listed when you click on the year name. In this example year 2 is highlighted and contains 3 classes which all have 0 pupils in them.
Please note:
- Year groups must contain either children or classes they can't have a mix of both.
- You can add pupils directly to the year group if you don't want to use classes.
Making Changes
If you later decide to use a different layout, it's possible to change the structure to include or remove classes after pupils have joined. However, to save time it's best to understand the school structure before you start. Classlist is very flexible and there are options for schools that use a non-standard structure.
If you need to delete a year then it must be empty and not contain children or classes.
If you need to delete a class then it must not contain children. This includes children that are sill attached to deactivated accounts.
To empty a class or year group so that you can delete it you will need to move the children to another group on the school structure eg unassigned or one you have created for this purpose.
Be aware that any parents who register and do not specify a year or class will have been allocated automatically to the 'unassigned' group. Be careful not to mix children from different years and classes in the unassigned group.
The order of year and class names
The Classlist system will sort the years and classes alphabetically. This is fine if you are writing Year 1, Year 2 etc. but not if your Years are named according to a different system. You can override the alphabetical ordering by adding a number before the proper name if you want the list to appear in a logical order (see the images below).
Whatever format you choose, stick to the same one throughout, eg if you enter Year One for the first year, don't then write Y2 for the second year. Keeping the same format means they will be listed in a logical order.
If your years go above Year 10 then you should put a 0 in front of your year groups 1-9 (eg Year 09) to ensure that they are listed in numerical order Otherwise Year 10 will be at the top.
Years may not be listed in a logical order when sorted alphabetically by the system:

New Starters
It's a good idea to add a new Year group for your New Joiners before the end of the summer term, so that new parents who read about Classlist in Welcome Packs can apply to join and get to know other new joiners over the summer.
Next Steps
Once you have finished setting up the structure you can move on to completing the school profile and inviting reps to help you. Then invite parents to join so they can add their pupil details to their classes.
